Doctors can apply to the Organisation either externally or internally, which follow two separate workflows: activation requests and external recruitment. 

This is the route by which staff already employed by the Organisation (both substantive and bank only) become activated on the Patchwork app for the Organisation. 

To activate an internal staff member on Patchwork, click Staff > Activation Requests on the Patchwork Hub menu. The number next to the page title indicates the number of staff currently having requested activation. 

Once on the Activation Requests page, follow the below steps to activate a staff member for the Organisation:

  1. Click Action

Here you have the option to Accept, Decline, Add a note or Move to External.

If you are happy with the applicant and choose to accept them, please do the following steps:

  1. Fill in the clinician’s ESR number

  2. Fill in the ESR numbers valid from date

  3. Fill in the ESR numbers valid to date (if applicable)

  4. Input the payroll cycle (weekly or monthly)

  5. Select internal/ external (i.e. internal = substantive working bank or external = bank only)

  6. Select the clinician grade

  7. To make the clinician an instant booker for a particular department(s), select the relevant department(s) from the drop down list –this step is not mandatory

  8. The clinician will then be activated on the app and ready to book shifts 

This is the route by which staff who aren’t already employed by the Organisation become activated on the Patchwork app. 

To activate an external staff member on Patchwork, click Staff > External Recruitment on the Patchwork Hub menu. The number next to the page title indicates the number of staff currently having requested activation. 

The stages for external recruitment are Applied > Shortlisted > Pending :

Once on the External Recruitment page, follow the below steps to activate a new staff member for the Organisation:

  1. Click on the three dots to open a users profile.

  2. Here, you can review all documents uploaded by the applicant, you can also add notes to the users profile.

  3. If you wish to progress their application, tap the arrows "shortlist" or "pending" on the users profile to move them between the different stages.

  4. Once you have completed additional checks and you wish to progress their application, drag and drop the user's profile card to Pending. If you need to carry out any face to face documentation checks/interviews you can do so at this stage 

  5. Once an applicant is in Pending, click the three dots and accept > follow the steps for Activation Request in the previous section to set up the clinician’s payroll information

Tip!

If required, you can also move clinicians from the External Recruitment page to Activation Requests by clicking Action > Move to Activation Requests.
