What's the difference between leave duration and deduction?

Leave duration

Leave duration is calculated based on the start and end date and time of the leave record. 

Leave duration is displayed in days and calculated based on rounding up the duration of the record to the nearest 6 hours (e.g. a quarter of 24 hours). 

For example: 

  • a leave record entered starting on Monday at 0900 and ending the same day at 1700 equates to 8 hours. The duration would be displayed as 0.5 days as 8 hours is rounded up to 12 hours (e.g. half of 24 hours)
  • a leave record entered starting on Monday at 0000 and ending on Tuesday at 2359 equates to 48 hours. The duration would be displayed as 2 days as 48 hours is equivalent to 2 days

Leave deduction 

Only annual and study leave types have deduction calculations displayed as these leave types have associated entitlements.

For all other leave types (e.g. sickness), "N/A" will be displayed next to the deduction label on the leave record. 

Leave deduction is calculated based on one of two methods which is highlighted on the leave record:

  • Unrostered 
  • Rostered

The method of deduction is controlled by the "Default leave" toggle on the worker profile under the roster preferences menu on superhub.

  • Default leave on = unrostered deductions enabled
  • Default leave off = rostered deductions enabled

Unrostered leave deduction

Leave records with a duration equal to or less than 4 hours between Monday-Friday 0900-1700  will deduct 0.5 days from the corresponding leave entitlement. 

Leave records with a duration greater than 4 hours between Monday-Friday 0900-1700 will deduct 1 day from the corresponding leave entitlement.

Leave records falling on weekends and bank holidays never incur a deduction.

For example:

  • a leave record entered starting on Monday at 0900 and ending the same day at 1200 equates to a deduction of 0.5 day. The leave record duration is 3 hours (less than 4 hours) between Monday-Friday 0900-1700
  • a leave record entered starting on Monday at 0900 and ending the same day at 1700 equates to a deduction of 1 day. The leave record duration is 8 hours (more than 4 hours) between Monday-Friday 0900-1700
  • a leave record entered starting on Monday at 0000 and ending on Sunday at 2359 equates to a deduction of 5 days. Although the leave record duration is 168 hours (or 7 days), only the hours falling between Monday-Friday 0900-1700 are counted toward the deduction

Rostered leave deduction

Rostered leave deductions work on the basis of calculating hours missed from scheduled shifts. 

Leave records with a duration equal to or less than 4 hours at the same time as a scheduled shift will deduct 0.5 days from the corresponding leave entitlement. 

Leave records with a duration greater than 4 hours at the same time as a scheduled shift will deduct 1 day from the corresponding leave entitlement.

Leave records falling on days with no shifts will not incur a deduction. 

For example:

  • a staff member has a shift scheduled for 0900-1700 on Monday, a leave record entered starting on Monday at 0900 and ending the same day at 1200 equates to a deduction of 0.5 day. The leave record duration is 3 hours (less than 4 hours) at the same time as the shift
  • a staff member has a shift scheduled for 0900-1700 on Monday, a leave record entered starting on Monday at 0900 and ending the same day at 1700 equates to a deduction of 1 day. The leave record duration is 8 hours (more than 4 hours) at the same time as the shift
  • a staff member has 4 shifts scheduled for 0900-1700 on Monday-Thursday, a leave record entered starting on Monday at 0000 and ending on Sunday at 2359 equates to a deduction of 4 days. Although the leave record duration is 168 hours (or 7 days), only the hours with shifts scheduled are counted toward the deduction
