Worker Grade Settings and Booking up and down grades

This article explains how grades for workers are managed in the system, what changes workers can make themselves, and when you must contact your trust to ensure accurate shift assignments and pay.

Understanding who can change a worker's grade

  • Trusts (employing organisations) control the official grade recorded in the system. Only the trust can update a worker’s actual grade and change booking permissions associated with that grade.
  • Workers can update their filter grades and suggested grades in their own account. These are user-side settings and do not replace the trust’s official grade.

How grade settings affect shift booking

  • Some shifts restrict booking to specific grades and will not allow workers of a different official grade to book, even if the worker can perform the role.
  • Some shifts allow workers to "book up and down" - this is based on the department's settings which are controlled by the Trust.
  • Not all shifts allow booking up or down the grade scale; if you cannot book into a shift because of its grade requirement, the Trust must change the official grade or booking settings.

What to do if your grade is incorrect 

  • Contact your trust (the employing organisation). Only the trust can update your official grade and adjust booking permissions.

When to contact support

  • Patchwork support cannot change Trust-controlled grade settings or advise on a trust’s internal grade configuration.
  • If you experience technical problems unrelated to grade permissions (for example, errors booking into unfilled shifts that should be available), raise a support ticket; however, for grade-related permissions you will be referred to your Trust.

Useful action checklist

  • Update your filters and suggested grades in your account to see all shifts available to you (including booking up and down shifts)
  • Attempt booking on both mobile and web (app.patchwork.health) to confirm the issue.
  • If booking fails due to grade restrictions, contact your Trust and request an official grade update or a review of the shift’s booking permissions.
